Module 3: Special Procedures Coordination

Handling Special Appointments

Special procedures such as EMGs, injections, and OCATs require additional coordination and preparation. This module covers the essential protocols for managing these specialized appointments to ensure all requirements are met before the patient arrives.

Learning Objectives
Special Procedure Scheduling Protocol

Special procedures require careful coordination to ensure all necessary documentation and preparations are in place before the appointment. Front desk staff play a critical role in this process.

Color-Coded Appointment System:

Advantage Healthcare Systems uses a color-coding system to quickly identify special procedure appointments in the scheduling system:

  • EMG/Nerve Conduction Studies
  • Injections (Epidural, Joint, Trigger Point)
  • OCAT (Orthopedic Clinical Assessment Tool)
  • Other Special Procedures

Required Steps for Special Procedure Scheduling:

  1. Review and scan the provider's order into the patient chart.
  2. Ensure insurance verification and pre-authorization (if required) are completed by the Verification department.
  3. Confirm that the order, authorization, and any relevant diagnostic notes are uploaded before the appointment.
  4. Coordinate with the MA or provider if any documentation is missing.
  5. Do not schedule procedures until all required documentation is complete and verified.

Minimum Outcome Standards:

  • Confirm all diagnostic requirements are met before injection visits
  • Verify all required documentation is in the system

High Performance Expectations:

  • Recognize color-coded appointments and proactively confirm requirements
  • Anticipate potential issues and resolve them before the appointment
